Quick Start Guide - Monthly Backup

We recommend that you backup your data periodically. This may be more or less frequently depending on the volume of transactions you are entering. If you have a small number of transactions it may be sufficient to do this on a monthly basis. However, in the event that you need to restore your data, you will obviously only be able to restore it to the point at which you did your last backup.

Note that SILVER AND GOLD BIG4books.com accounts do automatic nightly backups. For these accounts you can restore your data from any of the saved nightly backups by logging in as administrator and selecting 'Restore Data Base from Automatic Backup'

To perform a manual backup, you must login as your account administrator. At the administrator screen, shown below, click 'Go' next to 'Back up the Data Base to a Local File'.



A 'File Download' dialog box will appear, as shown below.



Save the file to your disc in a directory you have set up in which to store your backup files. The default filename generated by the system will have your organization name, followed by a timestamp of the form MMDDYY-HHMM. The file is a .zip format file containing a backup of your data base information.

Do not change the format of the file in any way. You are free to view it, but it must remain intact so that a subsequent restore operation will work. The format of the file is specific to the BIG4books.com system and the system will verify the format for security purposes before performing a restore.
